Kick Off Meeting-01.11.2022

We discussed the basic structures of the project at the kick-off meeting. Since there will be no physical meetings in the project, we decided to hold online meetings every 1 or 2 months to discuss the progress of the project.

Meeting 2

In the meeting held on 08.12.2022, several important decisions were made. It was agreed that each partner is responsible for uploading necessary administrative and activity documents (such as agreements, invoices, boarding passes, and feedback forms) into the shared project drive. The partners were reminded to create participant registration forms before each activity to facilitate reporting and Youthpass creation. Additionally, budgetary recommendations were discussed, with accommodation being suggested to be covered by each partner. Tasks and deadlines were assigned, including LIDOSK for website design, BIOVILLE for logo design, ARCUS for managing Facebook, and ECCO for Instagram post design

Meeting 3

In the third meeting held on 04.01.2023, key tasks and deadlines were reviewed. LIDOSK was assigned to complete the website design, with the website link provided. BIOVILLE's logo design was approved, with logo number 18 chosen. ARCUS was responsible for managing the Facebook group, and ECCO was tasked with creating Instagram posts. Additionally, a registration form deadline was set for January 5th, and discussions were held regarding the partnership agreement, activity schedules, and accommodation details, including payment methods and meal costs​

Meeting 4

In the meeting held on 01.02.2023, several key decisions were made. It was agreed that all participants would submit feedback forms, and Youthpass certificates would be distributed by ECCO. The participant registration deadline for Activity 2 was set for February 28th. Website development plans included adding blogs with HD pictures, generated based on feedback form responses. Decisions regarding accommodation and tickets for Activity 2 in Antalya were also to be finalized by February 28th. Additionally, Instagram would be managed by the hosting organizations, with posts about project objectives and activities, while Facebook would engage participants and allow promotion of future projects​

Meeting 5

In the meeting held on 01.03.2023, several updates and decisions were discussed. The feedback and participant registration forms were shared, with the registration deadline set for February 28th. Due to the allocation of accommodation for earthquake victims, a new hotel was arranged for the participants, with the same price of 20€ per person. The hotel offers both rooms and a conference hall for the project. Website development ideas were also reviewed, and it was decided that one session during Activity 2 in Antalya would focus on enhancing the website, with design changes to be voted on before implementation

Meeting 6

In the meeting held on 03.05.2023, it was decided that both Instagram and the project website would be actively used to engage the target audience by sharing success stories of local youth involved in entrepreneurship. Each partner was assigned responsibility for managing the Instagram account during specific months. Before each project activity, the host organization will promote their country, NGO, and the objectives of the activity. The Instagram account details were also shared, with partners rotating management responsibilities throughout the year​

Meeting 7

In the meeting held on 07.06.2023, several key decisions were made. The 3rd activity in Latvia was scheduled for 2-7th October 2023, with the info pack to be ready by the end of June. The 4th activity in Italy was rescheduled to 11-15th March 2024, pending confirmation from Irene. It was agreed that the Facebook groups should be actively used, with participants invited to the official project group. Additionally, detailed instructions were provided for Instagram posts, requiring each partner to share at least four posts, including visuals of the entrepreneurship journey to inspire others​

Meeting 8

In the meeting held on 09.08.2023, it was decided that the info pack for the 3rd activity in Latvia (scheduled for 2nd-6th October) must be completed by August 14th, including accommodation prices. The team also raised a question to the National Agency regarding whether activities could be held in a city other than the organization’s main location. Missing documents from the 2nd activity in Turkey were to be uploaded by the representatives within a week. Additionally, participants who purchased tickets for the 3rd activity were asked to upload their receipts. Successful entrepreneurship stories from each partner country were to be submitted by September 8th​

Meeting 9

In the meeting held on 13.09.2023, several key tasks and updates were discussed. The accommodation prices for Activity 3 in Latvia were shared, and the missing documents from the 2nd activity in Turkey were to be uploaded by representatives. Each partner was required to submit their “Successful Entrepreneurship Story” by September 8th. Missing documents from Activity 1 in Norway, Latvia, and Italy were reviewed, including participant registration forms, invoices, and boarding passes. The info pack and agenda for Activity 3 in Latvia (2-6 October 2023) were confirmed ready. The dates for Activity 4 in Italy were set for 11-15 March 2024. Dissemination efforts were also discussed, with Latvia being responsible for Instagram posts in September​

Meeting 10

In the meeting held on 15.01.2024, several key points and tasks were discussed. The 4th project activity in Italy will take place from 11-15 March 2024, and the infopack, agenda, and accommodation information need to be finalized by January 26th. Each partner country is responsible for submitting a "Successful Entrepreneurship Story," with some still pending. Missing documents from previous activities, such as participant lists, invoices, and boarding passes, were reviewed. Dissemination efforts will focus on sharing learning outcomes, images, and videos via social media and the project website. The project will conclude on 01.08.2024, with the next meeting scheduled for 07.02.2024

Meeting 11

In the meeting held on 07.02.2024, key updates regarding Activity 4 in Italy, scheduled for 11-15 March 2024, were discussed. The infopack, agenda, and accommodation details were shared, with the cost per participant set at €39. Meals will be provided by ARCUS. A registration form deadline was set for March 1st, and Youthpass certificates will be issued by March 14th. Additionally, ARCUS will create a WhatsApp group for participants by March 4th. Dissemination tasks include sharing local activities on social media for the project’s final report, and partners were reminded to complete Instagram and Facebook posts, with new deadlines for January and February posts

Meeting 12

In the pre-meeting notes for 23.07.2024, the agenda focused on dissemination and visibility, as well as the communication of project results. The project’s website, Facebook page, and Instagram account were highlighted as key platforms for sharing learning outcomes and updates, with each partner responsible for specific months of social media management. Dissemination strategies included involving local and regional media, creating project booklets, and producing 16 videos to document the activities. Additionally, it was suggested to invite journalists to the final activity in Italy to maximize exposure. The project’s results will be shared through various means, including workshops, seminars, and the Erasmus+ Project Results Platform
